Keep a private document trail for a credit enquiry
A credit enquiry can move through several messages before you understand who is asking for what. Keep a private document trail so that requests, permissions and replies remain distinguishable. This record helps organise questions; it does not establish eligibility, affordability or approval.

Identify the recipient before preparing attachments
Write down the provider’s legal name, the contact channel you independently checked and the purpose of the enquiry. A name or registration number copied into a message can belong to someone else, so do not treat its presence as verification. Preserve the original request and note how you reached the sender. If you cannot establish who will receive the documents, pause before creating a bundle. There is no need to send identity or banking information merely to keep a conversation moving, and an unsolicited message is not a reason to bypass your own checks.
Keep requests and permissions as separate records
Make one entry for each requested document: what it is, why it was requested, the intended recipient and whether you have actually shared it. Leave an unanswered purpose visible. Store an unedited original privately and distinguish any redacted copy you decide is appropriate for a verified channel. Do not put passwords, one-time codes or account access details into an enquiry pack. Where a conversation includes consent or a service agreement, read its scope before responding; an administrative document list should not conceal a decision you have not understood or made.
Close the trail with a factual summary
After a reply, record what was answered, what remains open and any reference provided. An acknowledgement that files arrived is different from a credit decision. Avoid labelling the folder “approved” because a salesperson sounded positive. If you stop the enquiry, note that decision without deleting evidence you may need for a later question. The record should be understandable without exposing its contents to every helper: a trusted person can assist with a checklist while the actual financial documents remain in your control. Seek appropriate qualified support for individual financial decisions.
- Verify the recipient independently before sharing.
- Record the reason for each requested document.
- Separate consent, receipt and a final decision.
- Keep sensitive files and account-access secrets out of public messages.
